WHY IT HELPS
Built around
the real task.
Claims, per-item policy limits, receipts, approvals and a printable claim form.
Your policy, applied line by line
Set a per-item limit and a receipt threshold for each category. Anything over the limit or missing a receipt is flagged before it is approved.
One status per claim
Draft, Submitted, Approved, Rejected or Paid. The Dashboard shows what is waiting and what is approved but not yet paid.
A form that prints itself
Pick a claim ID and Claim Form lists every line with totals and policy flags, ready to sign.
GETTING STARTED
Three steps
to your own version.
The sample shows a working example; the blank version keeps every formula ready for your records.
Set the policy
On Policy, set limits and receipt rules for each category and list employees with their approvers.
Record claims
Add a claim, then its expense lines with dates, categories, amounts and whether there is a receipt.
Approve and pay
Change the status as the claim moves, enter the paid date, and print the Claim Form for records.
QUESTIONS
Before you begin.
Short answers about how the workbook behaves.
Can employees fill it in themselves?
Yes: share a copy, let them add lines, and collect the file. For many employees, keep one master copy with finance.
How is mileage handled?
Enter mileage as an amount (miles × your rate) in the Mileage category, and note the miles in the description.
What happens to amounts over the limit?
They stay on the claim and are shown as Over limit so the approver can decide. To reimburse only up to the limit, use "To reimburse" on the Claim Form.
Can it store receipt images?
No. Mark whether a receipt exists and keep the images in your usual folder or app.
How do I keep my changes?
Use Download XLSX or PDF in the editor before closing the tab. Nothing is saved to a server automatically, and your workbook never leaves your device while you edit.
Will it work in Excel and Google Sheets?
The files use standard XLSX formulas without macros, pivot tables or external links. They are checked with the ExcelCraft engine; compatibility with every Excel or Google Sheets version is not guaranteed. Review formulas, charts and formatting in your app before relying on important figures.
Can I change the currency?
Amounts use a $ number format. Change the cell format to your currency; the formulas do not convert between currencies.
